Overview
Participating communities in the LEGO Fan CoLab should agree to uphold the following principles:
- Defined Organization and Operational Structure Maintain a clear structure with defined roles to support continuity, transparency, and effective coordination.
- Open Membership Clearly communicate how to join, ensuring an inclusive and welcoming environment.
- Code of Conduct and Behavioral Expectations Maintain written behavioral expectations and a reporting process.
- Active Membership and Participation Demonstrate ongoing participation in physical events and activities.
- Active Online Presence Maintain an accessible, up‑to‑date online presence with visible activity.
- Compliance with Trademark and Intellectual Property Laws Follow LEGO trademark and brand guidelines.
- Community Ambassador Representation Have a clearly identified Community Ambassador.
- Maintaining Recognition Continue upholding these principles over time.
1. Defined Organization and Operational Structure
Communities should demonstrate an identifiable and functional organizational structure that supports effective operation and continuity.
This includes:
- Clearly defined leadership roles (organizers, administrators, board members)
- Transparent decision‑making processes
- Defined responsibilities for communication, events, and financial management
- A primary point of contact for LEGO Fan CoLab communication (Community Ambassador)
Communities are encouraged to separate leadership roles (e.g., the president should not also serve as Ambassador).
Recommended Leadership Structure
Communities are encouraged, but not required, to:
- Maintain a leadership team of 3–5 members
- Select leaders through a transparent election process
- Set 4‑year term limits
2. Open Membership
Communities must operate with an inclusive and accessible membership model.
They must clearly communicate:
- How new members can join
- Any eligibility requirements
- Membership expectations
- Contact information
Criteria may reflect geographic, thematic, or organizational focus but must not be discriminatory.
3. Code of Conduct and Behavioral Expectations
Communities must establish and maintain a written Code of Conduct or clearly defined behavioral expectations, including a reporting process.
At minimum, this should include:
- Expectations for respectful, inclusive, and welcoming behavior
- Prohibited conduct (harassment, discrimination)
- A process for reporting concerns
- Defined consequences for violations
4. Active Membership and Participation
Communities must demonstrate real‑world engagement.
Visible and Recurring Participation in Physical Events
Communities are expected to:
- Participate in or host physical events annually
- Maintain a visible presence at public events
- Demonstrate member involvement
5. Active Online Presence
Communities must maintain an accessible and up‑to‑date online presence.
Monthly Activity
Communities must demonstrate consistent engagement through at least one meaningful update per month, such as:
- Original social media posts
- Website updates
- Event announcements or recaps
- Member spotlights
Historical Record
Communities must maintain a publicly viewable record of past activities, such as:
- Archived posts
- Event photo galleries
- Project documentation
- Annual summaries
Platform Maintenance
Communities are encouraged to:
- Refresh content regularly
- Update or archive outdated information
- Fix broken links and remove obsolete services
6. Compliance with Trademark and Intellectual Property Laws
Communities must respect and comply with applicable trademark and intellectual property laws, as well as LEGO brand and LEGO Fan CoLab guidelines.
Logo Usage
Communities must:
- Use LEGO trademarks according to guidelines
- Not modify official LEGO logos
- Ensure community logos are clearly distinguishable
- Avoid implying official endorsement without authorization
Marketing Materials
All promotional materials must:
- Accurately represent the community as an independent fan organization
- Avoid implying official LEGO endorsement
- Use trademarks in compliance with Fan CoLab policies
Naming
Community and event names must:
- Avoid infringing trademarks
- Use “LEGO” only descriptively
- Not imply official ownership or control
- Follow LEGO trademark usage guidelines
7. Community Ambassador Representation
Each Recognized LEGO Fan Community is represented by a Community Ambassador.
Core Responsibilities
Ambassadors are expected to:
- Act as the primary point of contact
- Respond to communication in a reasonable timeframe
- Share updates and opportunities with the community
- Relay feedback and questions to the Fan CoLab team
- Complete forms, reports, and surveys
Community Representation and Engagement
Ambassadors should:
- Represent their community accurately
- Encourage participation in CoLab initiatives
- Support an inclusive and respectful environment
- Contribute to collaboration and knowledge‑sharing
Communication and Reliability
Ambassadors should:
- Communicate accurately and promptly
- Handle confidential information responsibly
- Maintain regular participation on the platform
- Communicate proactively if unable to fulfill their role
Conduct and Professionalism
Ambassadors are expected to:
- Communicate respectfully and constructively
- Act in alignment with LEGO brand values
- Avoid or disclose conflicts of interest
Role Structure and Tenure (Recommended)
Recommended practices include:
- Selecting the Ambassador through a transparent process
- Establishing a 4‑year term
- Planning for succession
8. Maintaining Recognition
Communities are expected to uphold these principles over time.
If a community struggles to meet them:
- The Fan CoLab team will help identify improvements
- Open communication is encouraged
- In cases of serious or repeated concerns, support may be paused or recognition removed
The Fan CoLab team aims to approach such situations with transparency, fairness, and a focus on supporting communities.
